In the Project Settings, under Record Styles, you will find all records that you want to have available for selection in your project.
The record styles are created across all projects. This means that once created, record styles are optionally available for all projects.
Creating a New Record Style
Practical example:
You mainly conduct defect inspections and customer meetings about special requests. The special requests record doesn't exist? No problem - simply create your own new record style called "Special Requests Record"!
Click on the plus sign at the bottom right and a form will open where you can define an abbreviation, the name, and the layout.
The abbreviation and record name will be displayed on the generated PDF log/protocol. In this case, the record would be called: "Special Requests Construction Site xy | NO SW1"
Record Layout
For the layout, you have three different options:
- Continuous Record
- Standard Record
- Short Record
The continuous record has the advantage that open items (red and yellow) are automatically carried over to the next record.
The standard record is the basis for the continuous record but always stands on its own.
The short record is essentially an internal company to-do list and only contains the brief text, the person responsible (from your own company), completion dates from and to, the reminder, and the priority.

Important: For the "Short" record style, you can only assign your own employees as responsible persons, and the record cannot be marked as completed.
Tasks cannot be moved into a short record. Tasks cannot be assigned to short records. Therefore, short records do not appear in the selection as target records.
Editing & Deleting Record Styles
Existing record styles can be modified with a click on the abbreviation (e.g. FMP).
However, you can only change the abbreviation and name, not the layout! Here you will also find the trash bin that allows you to delete the record style.

Note: Records styles can only be deleted if they no longer contain anyrecords! This is a safety measure to ensure that completed records are not lost and can still be found in searches even years later!
