Creating, Editing, and Deleting Protocol Types (Project Settings)

In the Project Settings, under Protocol Types, you will find all protocols that you want to have available for selection in your project.

The protocol types are created across all projects. This means that once created, protocol types are optionally available for all projects.


Creating a New Protocol Type

Practical example:

You mainly conduct defect inspections and customer meetings about special requests. The special requests protocol doesn't exist? No problem - simply create your own new protocol type called "Special Requests Protocol"!

Click on the plus sign at the bottom right and a form will open where you can define an abbreviation, the name, and the layout.

The abbreviation and protocol name will be displayed on the generated PDF protocol. In this case, the protocol would be called: "Special Requests Construction Site xy | NO SW1"




Protocol Layout

For the layout, you have three different options:

  • Continuous Protocol
  • Short Protocol
  • Standard Protocol

The continuous protocol has the advantage that open items (red and yellow) are automatically carried over to the next protocol.

The standard protocol is the basis for the continuous protocol but always stands on its own.

The short protocol is essentially an internal company to-do list and only contains the brief text, the person responsible (from your own company), completion dates from and to, the reminder, and the priority.

Important: For the "Short" protocol type, you can only assign your own employees as responsible persons, and the protocol cannot be marked as completed.

Tasks cannot be moved into a short protocol. Tasks cannot be assigned to short protocols. Therefore, short protocols do not appear in the selection as target protocols.




Editing & Deleting Protocol Types

Existing protocol types can be modified with a click on the abbreviation (e.g. BB).














However, you can only change the abbreviation and name, not the layout! Here you will also find the trash bin that allows you to delete the protocol type.

Note: Protocol types can only be deleted if they no longer contain any protocols! This is a safety measure to ensure that completed protocols are not lost and can still be found in searches even years later!
